GENERAL SUMMARY :

The Surgery Office Assistant/Scheduler serves as a receptionist greeting and directing all patients and visitors arriving at the ASC area. The Surgery Office Assistant under the direction of the nurses coordinates all patient information /records and schedules surgery. Coordinates all communication between the ASC and other departments in the hospital, as well as the physician and community resources. Understands and reacts to the unique needs of the neonatal, pediatric, adolescent and/or geriatric patient. Supports the Mission and Core Values of the Sponsors. Respects and maintains confidentiality

Principal Duties and Responsibilities:

  1. Greets patients and visitors. Directs them to the appropriate reception area.

  2. Schedules surgeries assuring information is correct and complete regarding patient name, DOB, surgeon, procedure, requested procedure time, site/side, and special equipment needs.

  3. Reviews and works with staff on completeness of medical record and charges. Extracts log information and keys data such as patient demographics, staffing, procedure, pre and post operative diagnosis, comments, specimens, times, charges and various options for statistical reporting.

  4. Reviews and keys charges and assures charges are complete and accurate from usage to patient’s bill.

  5. Enters data for on-line implant log.

  6. Prepares routine reports for surgery nurse manager, administration, business office, utilization review and any other reports requested. Assures accuracy of statistics before running reports.

  7. Works with nurse manager and information systems to troubleshoot any computer errors or issues.

  8. Orders office supplies.

  9. Answers telephone and screens calls in the surgery department when necessary. Takes accurate phone messages.

  10. Carries out responsibilities in a timely and efficient manner. Facilitates the accurate and timely flow of information between patients and families, physicians, unit staff, and other departments to achieve coordinated results.*

  11. Maintains an organized work environment to ensure a smooth flow of work. May assist with discharging patients.

  12. Maintains good public relations with physicians and their office staff.

  13. Maintains confidentiality of patient and personnel information as per hospital policy.

  14. Enhances professional growth and development through participation in educational program, current literature, inservice meetings, and workshops

  15. Adheres to the standards and policies of the Corporate Responsibility Program, including the duty to comply with applicable laws and regulations, and reporting to designated Manager, or employee hotline, any suspected unethical, fraudulent, or unlawful acts of practices.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Required Education: High School graduate or equivalent.

  • Keyboarding, computer, phone, word processing and medical terminology, PC Computer, CRT, copying machine, Fax and printers.

  • Effective communication skills.

  • Other - Attention to detail. Must be able to effectively deal with people in stressful situations.

WORKING CONDITIONS:

Working Conditions: Subject to irregular working hours. May be exposed to unpleasant patient elements and bodily fluids for which personal protective equipment (PPE) is provided.

Personal Protective Equipment: PPE such as gowns, gloves, masks, face shields, goggles, etc. are provided and must be used whenever the possibility of exposure to body substances exists.
