Summary About the Position: The incumbent serves as the principal office assistant to the Chief and Assistant Chief, Engineering & Construction Division and in that capacity relieves them of a variety of general clerical and administrative support work in the immediate office and performs special administrative support and study assignments. Responsibilities Screens all incoming calls for proper channeling. Takes messages for supervisors and relays messages and instructions from supervisors to subordinates within the Division. Schedules the supervisors' appointments and, if possible, checks with them for approval before confirmation. Serves as Records Management Coordinator for Engineering and Construction Division and monitors, oversees and coordinates the records management coordinator activities of four subordinate Record Management Coordinators. Serves as alternate or designated timekeeper for employees assigned to the Office Chief, Engineering and Construction Division. Prepares the annual operating budget for the Office of the Chief of the Engineering and Construction Division Requirements Conditions of Employment Qualifications Who May Apply: US Citizens In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Additional information about transcripts is in this document. GS-05:Specialized Experience: One year of specialized experience which includes: 1). Performs a variety of clerical and administrative duties such as: receiving and directing calls; maintaining supervisors' calendar; scheduling appointments and conferences; receiving and controlling mail; and maintaining files. 2). Composes and reviews correspondence, reports, and miscellaneous documents conforming to established policy and procedure. 3). Coordinates personnel actions. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04). OR Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages. GS-06:Specialized Experience: One year of specialized experience which includes: 1). Performs a variety of clerical and administrative duties such as: operating a personal computer using a variety of software to prepare material. 2). Prepares personnel administration documents and forms such as retirement forms, monetary award documents, security clearances, and personnel actions. 3). Performs timekeeping functions using manual and automated procedures. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05). GS-07:Specialized Experience: One year of specialized experience which includes: 1). Performs a variety of clerical and administrative duties such as: preparing correspondence and reports; receiving and directing calls; maintaining supervisors' calendar; scheduling appointments and conferences; receiving and controlling mail. 2). Prepares personnel administration documents and forms such as retirement forms, monetary award documents, security clearances, and personnel actions. 3). Submits, monitors, and tracks Request for Personnel Actions (RPAs) for permanent appointments,temporary promotions, management directed reassignments, and adverse actions. 4). Performs timekeeping functions using manual and automated procedures. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06). Some federal jobs allow you to substitute your education for the required experience in order to qualify. For the GS-06 and GS-07 grade level, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.
