Robert Half Executive Assistant/Admin in San Pedro, California

Description We are offering a contract to hire employment opportunity for an Executive Assistant in the non-profit industry, specifically within the housing sector. The role is based in San Pedro, California, and will involve supporting the Executive Director in their day-to-day tasks.

Responsibilities:

• Manage the Executive Director's schedule, ensuring efficient calendar management

• Act as a liaison between the Executive Director and other staff or external contacts

• Handle correspondence including answering phones, sorting mail, and creating weekly newsletters

• Ensure efficient meeting coordination, from arranging logistics to drafting meeting agendas and taking minutes

• Carry out banking tasks such as making deposits

• Maintain an organized filing system and manage day-to-day administrative tasks

• Assist in coordinating team schedules and work arrangements

• Welcome and direct visitors on the administrative floor. Requirements • Proven ability in meeting coordination, including setting meeting agendas and arranging logistics.

• Demonstrated experience in scheduling appointments and managing calendars.

• Excellent skills in taking meeting minutes and ensuring accurate documentation of proceedings.

• Ability to coordinate and manage executive meetings seamlessly.

• Proficiency in managing meeting arrangements, ensuring all necessary materials are prepared and available.

• Experience in team scheduling, ensuring all team members are aware of their schedules and any changes.

• Ability to handle work scheduling, ensuring tasks are allocated and completed within set timelines.

• Proficiency in scheduling management, ensuring efficient use of resources and time.

• Proven experience in coordinating meetings, ensuring all necessary parties are available and informed.

• Demonstrated ability to manage meeting logistics, ensuring smooth running of meetings.

• Ability to handle scheduling appointments and calendar management, ensuring no scheduling conflicts arise.
