The Executive Assistant I position is fully responsible for managing the administrative functions and day-to-day operation of the office of the Chief Medical Officer. The primary functions involve managing the Executive's calendar, handling confidential and sensitive information, preparing correspondence and reports, interacting with department staff on Executive's behalf, receiving visitors with diplomacy, making travel, and meeting arrangements, and assisting in preparation and monitoring of the departmental expenses and budget.

What you will do:

  • Manage the Executive's calendar and organize activities internally and externally, keep Executive apprised of meeting dates and appointments, independently prepare related materials, and makes travel arrangements.

  • Act as the Executive’s liaison internally and externally; ensure that individuals are informed of activities, directives, and deadlines; coordinate the smooth flow of information between the Executive and the department.

  • Compose internal and external correspondence, including letters, memos, and presentations.

  • Screen incoming calls, visitors, correspondence, and mail to determine appropriate routing and scheduling; use discretion to establish sensitivity and necessity to convey details; review industry periodicals for importance or interest to the Executive and/or associates.

  • Monitor department budget and complete analysis through the research and review of expense statements.

  • Maintain a variety of electronic and hardcopy data, including confidential and general files, corporate minute books, personnel records, and manuals.

  • Complete special projects or assignments and perform other duties as required by the Executive.

  • Serve as designee for the Executive's approval of specified items.

  • May manage special programs specific to the supported division.

  • Provide direction and serve as a coach to lower-level staff as necessary.

  • Occasionally may travel on company business.

  • Perform other duties as assigned.

What you will bring:

  • Five (5) years of experience as an Administrative Assistant or Executive Assistant supporting top level executives, senior managers, or groups of senior managers (Required).

The pay for this role will vary based on a range of factors including, but not limited to, a candidate’s geographic location, market conditions, and specific skills and experience.

National Salary Range:

$67,800.00 - $89,100.00

National Plus Salary Range:

$67,800.00 - $101,600.00

*National Plus salary range is used in higher cost of labor markets including Western Washington and Alaska .
