Actalent Office Coordinator in Louisville, Kentucky

Actalent Services is hiring an experienced Office Coordinator for a permanent role supporting Actalent's engineering managers, employees and daily office operations in our Louisville engineering center (9520 Ormsby Station Road). The Office Coordinator provides superior service to Actalent's engineering managers, employees, consultants and customers in the areas of administration, office operations, travel support, office event planning, customer relations and employee engagement. This employee will have flexibility to work remote 1 day/week.

Essential Functions:

  • Provide outstanding customer service for visitors and all internal employees.

  • Oversee expenditures in regards to events and center outings as well as partnering with the finance team for additional requests.

  • Plan and organize office events and actively drive the center culture in accordance with our core values and guiding principles.

  • Manage P-Card and reconcile monthly statements.

  • Maintain and organize inventory, order supplies and promotional items.

  • Support, process and respond to travel requests and arrangements for Actalent consultants and employees

  • Resolve travel logistics and compliance issues and assist in reviewing expense reports and audits

  • Upload travel itineraries into internal systems; set-up new employees' travel and expense accounts (Concur)

  • Provide information to internal departments relative to travel booking and finances

  • Answer and direct incoming phone calls or questions to responsible persons in Actalent consultants.

  • Coordinate office events such as lunches, visitor meetings, get together, awards, etc. as directed by the Executive Director or Delivery Center Manager.

  • Maintain a professional work environment in alignment with current client and Actalent culture.

  • Manage inventory, organize and order office supplies for the office.

  • Provide outstanding levels of administrative support to all internal and external employees.

  • Order and distribute Actalent promotional items.

  • Maintain informational bulletin boards located at the center per state specific laws.

  • Support leadership with meeting preparation including: assembling documentation, preparing slides, projects by request, and other materials.

  • Maintain badges for internal employees as well as visitors to meet security protocol per center.

  • Responsible for new employee’s desk set up, shipping/receiving of equipment, and ordering business cards.

Minimum Education/Abilities/Skills:

  • Minimum 6 years of experience in an administrative or customer-service related position. Previous executive admin experience highly desired.

  • Strong ability to prioritize, organize, problem solve, and meet deadlines and goals.

  • Prior experience in an Administrative, Receptionist, or Customer Service-related role supporting technical and/or management-level employees preferred.

  • Previous experience planning events and managing calendars, appointments and meeting rooms.

  • Ability to schedule travel, coordinate travel logistics/arrangements, respond to travel issues in real-time and resolve issues with hotels/car rentals/flights/ect. and travel expense compliance.

  • Excellent communication skills (written/verbal).

  • Proficiency in MS Office suite is required.

Compensation / Benefits Information:

$42,000-$45,000 Starting Base Pay, $2,000 Additional Annual Bonus Potential, Employee Profit-Sharing Program, 4 Weeks Paid Time-Off, 6 Paid Holidays, 401k (w/company match), M/D/V Benefits
