Description

As the Intake Coordinator, you will be the first point of contact for potential clients. You will play a crucial role in efficiently assessing their needs, gathering essential information, and scheduling consultations with the appropriate parties. Responsibilities:

  • Answer phone calls and inquiries: Professionally answer incoming calls and emails from potential clients seeking representation.

  • Client Intake: Conduct in-depth interviews to understand the client's situation and gather relevant details.

  • Assess Eligibility: Evaluate the case based on the firm's practice areas and determine potential fit.

  • Schedule Appointments: Schedule consultations with the appropriate parties based on the client's needs.

  • Data Entry and Management: Accurately input client information and case details into the firm's case management system.

  • Maintain Client Records: Organize and maintain client files, ensuring all documents and information are kept up-to-date and readily accessible.

  • Prepare Legal Documents: Assist with preparing intake forms and other necessary documents.

  • Client Communication: Communicate clearly and empathetically with clients, providing them with updates and addressing their questions and concerns.

  • Maintain a Positive Image: Promote the firm's services and professionalism through all client interactions.

    Requirements

Qualifications:

  • Minimum 1 year of experience in a customer service or administrative role.

  • Excellent communication and interpersonal skills, both written and verbal.

  • Strong active listening skills and the ability to build rapport with clients in potentially stressful situations.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

  • A keen eye for detail and accuracy with data entry and file management.

  • Ability to prioritize multiple tasks and work effectively in a fast-paced environment.

  • Strong organizational skills and the ability to maintain a clean and organized workspace.
